Problems & solutions
You have to ask each subcontractor, and you can't tell who's on site or who hasn't left
Scan a QR code with a phone to log check-in and check-out, shown live by subcontractor and trade
No calls to subcontractors, and in an emergency you can run a headcount right away
Safety and construction certifications lapse and are only caught during audits
The roster tracks every certification's expiration date, flags expired ones in red, and shows the same flag at the gate
Cuts the risk of non-compliant workers entering, and lets you filter the list instantly during an audit
Each site keeps its own Excel file, so no one can confirm which is the latest
Import your existing Excel files directly, and people already on the roster are updated automatically
No comparing versions, and a change to a worker's record is made just once
The gate has no way to know who is suspended or for how long
Record the suspension period, and a scan blocks the person and shows the reason and end date
No reliance on anyone's memory, and every block is on record for follow-up
A new stack of hazard notification forms every day, and none is easy to find when you need it
Scan the QR code at the entrance to sign, and every form gets its own number and QR code
No printing or filing, and you can pull up the PDF immediately during a labor inspection or after an incident
Features
Roster and expiration status
Manage basic details, trade and work item, certifications and expiration dates, emergency contacts, and certification photos in one roster. Any date that has passed turns red, and you can filter to expired only.
Excel roster import
Column order doesn't matter, and common column-name variations are recognized. People already on the roster are updated automatically, and you get a report of which rows weren't imported and why.
Violations and entry bans
Record the reason, ban start and end dates, and gate location, and select multiple people at once. When a banned person is scanned, the screen shows the reason and the date the ban runs through.
Your phone is the scanner
At the gate, open the scan page on a phone. Scanning a vest QR code counts as check-in the first time each day and check-out the second time, and shows the worker's photo, certifications, today's form status, and any violations. Scanning a pass records check-in only. Either way, the person is cleared or blocked on the spot, with the reason shown.
Workers need no account
Workers enter the last 4 digits of their ID and their birthday to get a time-limited pass and fill in that day's forms. Anyone without a phone can use a batch-printed vest ID QR code.
Scan at the entrance to sign safety forms
Post a QR code poster at the entrance. Workers scan it, see only the forms they need to sign today for their trade and work item, check each clause, and sign by hand.
Custom forms and sequential stamps
Shared templates, such as the hazard notification form, come built in, and you can add or remove items after adopting one. Approval stamps are applied in order, checkpoint by checkpoint, and can be applied in batches.
Signed-form lookup
Every signed form has its own QR code and number. Scan the code or enter the number to pull it up, then print it or save it as a PDF.
Site board
Separate tabs show who is on site, who has checked out, who hasn't checked out by a set time, and who was blocked, grouped by subcontractor and trade, along with a foot-traffic curve and the day's weather and heat hazard level.
Attendance reports and access logs
See each person's earliest check-in and latest check-out per day, search by date range, and export to Excel. For sites with card-swipe access control equipment, you can also view the swipe in and out records.
vs. traditional methods
Sign online by scanning a QR code; numbered forms can be pulled up later, reducing proxy signing, missed signatures, and lost forms
Time-limited and single-use; when scanned at the same time, only one device passes, and the pass doesn't work at other sites
The phone is the scanner; workers get in with a phone or vest QR code, with no cards to issue or equipment to buy
One roster per site, certification expirations flagged in one place, duplicate imports merged automatically
Keep your equipment; swipe records are searchable and run alongside phone scanning
Who it's for
Site managers and field management
Always know who's inside right now and who should have left but hasn't.
Safety officers
Collect and keep signatures for hazard notifications, special work permits, and pre-task toolbox talks.
Project managers and general contractor executives
See workforce mix, attendance, and violation records across subcontractors, with reports you can export as proof.
Gate staff
Scan a QR code with a phone to clear people, and see on the spot whether they can enter and why.
Workers on site
No usernames or passwords to remember. Workers use the last 4 digits of their ID and their birthday to get through and sign forms on their own.
